 JOB OVERVIEW  

The executive and marketing assistant will be responsible for managing company events, including live, in-person, online, and recorded. They will also be the company podcast manager and company database manager. This role will also support the CEO and other admin duties as assigned. This person MUST love the little details, get joy from being accurate, and have excellent written and communication skills. A successful executive and marketing assistant must be detail-oriented, check their work twice, and help to make the executive leadership and sales team look great!  

TOP JOB DUTIES 

  • EVENT MANAGER: Book, manage, coordinate company events, trade shows, live events, webinars, and other forms of recorded media. This also includes, but not limited to booking travel, including itineraries, flights, meeting rooms, and other event management details.  
  • PODCAST MANAGER: Manage podcast guests, booking guests, coordinating sign-ups, and preparing Support clients through their project working collaboratively with project manager. 
  • DATABASE MANAGER: Enter contacts into the company database and help manage database. 
  • Support CEO with email management, calendar management, appointment confirmation, client communication, proposals. Provide feedback to marketing and leadership. 
  • Work with company suppliers and vendors for marketing support, client support, and other support needs. 

OTHER DUTIES AND RESPONSIBILITIES 

  • Attends weekly internal check-in calls and monthly, or as needed, with clients. 
  • Log sales activity in the company CRM system as well as maintaining a clean and accurate database. 
  • Follow-up with and keep current with warm leads within 1-business day and guide prospects through the sales process. 
  • Communicate with clients, prospects, internal staff via email, phone, text message, letters, and other forms of communication. 
  • Provide reports as needed for clients and for internal review. 
  • Stay up to date with sales trends and franchise news for better service and achievement of sales. 
  • Travel up to 10% to attend trade shows, client visits, training, and in-person staff meetings. 

 EDUCATION AND EXPERIENCE REQUIREMENTS 

  • Minimum five years working as executive assistant, high ticket sales assistant, high ticket marketing manager, or business to business project manager. 
  • Minimum five years experience working in CRM system, marketing platform, company database, and other electronic resources for client management. 
  • No college degree is required.

PREFERRED SKILLS 

  • Has a background working with entrepreneurs. 
  • Experience in franchise sales or the franchise industry. 
  • Critical thinking, evaluation, and analytical skills. 

 COMPENSATION 

This is a part-time, (approximately 10-12 hours per week) hourly or base salary position depending on experience and skills.
